At Fitness Imperial, our goal is to provide exceptional service and ensure that every client receives personalized care. To maintain a fair and transparent relationship, we have established the following Return & Refund Policy, which outlines the procedures and expectations regarding cancellations, refunds, and missed sessions.
1. Cancellation Policy
- Notice Requirement: To cancel or reschedule a session, a minimum of 12 hours' notice is required. This allows us to potentially fill the time slot with another client.
- Late Cancellations: If you cancel or reschedule a session with less than 12 hours' notice, a cancellation fee of $20.00 will be charged. This fee helps offset the loss of potential income due to the inability to book another client in that time slot.
- Late Arrivals: Clients are expected to start their workouts at the scheduled appointment time. If you arrive late, the session will end at the originally scheduled time. If your trainer or coach arrives late, your session will be extended to cover the full scheduled time.
2. Missed Sessions
- Make-Up Sessions: If you provide adequate notice for a missed session, you may reschedule and make up the missed session.
- Extended Absences: If you miss multiple sessions due to surgery or illness, an extension of your contract may be granted. However, a doctor's note is required to qualify for this extension.
- No-Refund Policy: All packages purchased are non-refundable. Refunds will only be considered if accompanied by a valid doctor's note. Unused sessions upon membership expiration will be forfeited and not refunded.
3. Payment Terms
- Pre-Payment: All services must be paid for before sessions are conducted. We accept various payment methods including credit cards, Zelle, Venmo, cash, and checks made payable to Fitness Imperial.
- Non-Transferable Sessions: Sessions are non-transferable and must be redeemed within one year of purchase.
4. Acknowledgment
By signing the initial agreement included in your Welcome Package, you acknowledge that you understand and agree to the following terms:
- Payment and Refund Terms: You understand that all sessions are non-refundable and must be used within one year of purchase. You also understand that cancellation with less than 12 hours' notice incurs a $20.00 fee.
- Notice of Cancellation: You agree to provide at least 12 hours' notice for cancellations to avoid incurring a fee. You are responsible for rescheduling missed sessions to maintain consistency and progress in your fitness regimen.

All relevant documentation is stored in Fitness Imperial's database and is available for review on your invoice. This documentation supports transparency and ensures that both parties are aware of the terms and conditions agreed upon.
